OEM Strap RFQ & Sample-Approval Checklist
A useful quotation starts with a specific configuration. Keep a written record of the drawing, artwork revision and approved sample so the buyer and supplier are working from the same reference.

What should an RFQ contain?
| Decision | What to confirm |
|---|---|
| Product reference | SKU, selected photograph or drawing revision; identify the exact buckle and color variant. |
| Dimensions | Units, finished width and length, adjustment range, hole or loop positions, measuring method and critical tolerances. |
| Materials and hardware | Fiber, weave, thickness, finish, hardware dimensions and mating parts; attach sample references where available. |
| Artwork and color | Artwork revision, logo dimensions, front/back layout, placement and physical color reference. |
| Quantity and packaging | Target quantity per color/configuration, unit contents, labels, packing and carton requirements. |
| Commercial request | Destination, requested arrival date, delivery terms, currency and required breakdown of sample, setup, unit and freight costs. |
| Acceptance evidence | Inspection criteria and any applicable test method or report required for the exact finished assembly. |
Separate the quote, proof and physical sample
- Quote: confirm the selected configuration, price basis, MOQ, setup and sample charges, payment terms and exclusions.
- Artwork proof: approve layout, spelling, size, placement and revision. State that physical color and material still require confirmation.
- Physical sample: inspect the finished dimensions, material, hardware, adjustment, printing and packing. Record changes before authorizing bulk production.
How do I record acceptance?
Give the sample an identifier and record its date, drawing/artwork revisions, photographs, measured results, approved changes and unresolved items. Keep a retained reference sample where practical. Agree who approves revisions and whether a changed component requires another sample.
Use a check with a stated method: for example, identify the measurement points and units instead of writing only “correct length.” Agree tolerances for the specific order rather than copying a general machine-precision claim.
Which strength or certification evidence matters?
Ask for evidence matching the exact material, hardware and sewn assembly, with the test method, sample identification and date. Distinguish breaking strength, working-load requirements and your intended-use criteria. Do not infer a certification from a catalogue photograph or copy a rating from another model.
How do I plan delivery?
Treat artwork preparation, sample manufacture, sample delivery, revisions, production, inspection and transit as separate stages. Tell the supplier your required arrival date and ask for a written milestone schedule. Confirm packing, shipment terms and destination-specific requirements with the order.
